VOLUNTEER ORGANIZATIONAL CHART

The Volunteer Organization works closely with the Artistic Director and the Administrative Director in all its activities. To insure that the focus of the Volunteer Organization is not dissipated the Artistic and Administrative Directors must approve projects other than those in the outline.  A member of the Volunteer Organization shall attend meetings of the Board of Directors of the North Star Dance Foundation and report on the activities of the Volunteer Organization, represent it needs and concerns and serve as liaison between the Board and the Volunteer Organization.

Volunteer Coordinator
Secures, schedules and supervises volunteers for the following tasks:

  1. Door Monitor
  2. Dressing Room Coordinator
  3. Back Stage Running Crew
  4. Loading Crew
  5. Make Up Coordinator
  6. Props Coordinator
  7. House Manager
  8. Housing and Transportation for Guest Dancers

Wardrobe Coordinator
Secures, schedules and supervises volunteers for the following tasks:

  1. Load in and out of wardrobe for fittings, dress parades, rehearsals in the theater and performances
  2. Supervision of and maintenance and repair of wardrobe during fittings, dress parades, rehearsals in the theater and performances
  3. Proper storage of wardrobe

Boutique Coordinator
Secures, schedules and supervises volunteers for the following tasks:

  1. Acquisition and pricing of items to be sold at Boutique
  2. Set up Boutique in theater lobby
  3. Sale of Boutique items during intermissions and before and after performances
  4. Accounting and reporting of sales
  5. Inventory and storage of Boutique items

Silent Auction Coordinator
Secures, schedules and supervises volunteers for the following tasks:

  1. Acquisition and listing of items to be offered at Silent Auction
  2. Set up Silent Auction in theater lobby
  3. Supervision of Silent Auction during intermissions and before and after performances
  4. Notification of winning bids and distribution of items
  5. Accounting and reporting of income
  6. Appropriate and timely recognition of donors

Costume Construction and Alterations Coordinator
In conjunction with the Costume Mistress and Costumer secures, schedules and volunteers for the following tasks:

  1. Construction of costumes
  2. Alteration and repair of costumes
  3. Maintenance of Costume Shop and Costume Storage

Scenery Coordinator
Secures, schedules and supervises volunteers for the following tasks:

  1. Construction and maintenance scenery
  2. Storage of scenery, drops and large props

Publicity and Marketing Coordinator
Secures, schedules and supervises volunteers for the following tasks:

  1. In conjunction with the Administrative Director assisting with the publicity and marketing efforts
  2. Distribution of posters and fliers
  3. Set up of advertising displays such as at the library and the theater lobby and at other places and for other events

 

Job Descriptions

Volunteer Coordinator – Acts as the primary coordinator for all volunteers, insuring that the volunteer pool is efficiently utilized and properly recognized. Acts as the liaison between the Board, Administrative Director and Staff and the Volunteer Organization.  Is present at Children’s Auditions to meet parents, register and manage children and solicit volunteers.  Is present at final children’s studio rehearsal to inform children of theater regulations and procedures.  

Door Monitor – Insures that only cast, crew and designated persons are admitted to the back stage area and dressing rooms during rehearsals and performances.  Checks in company members and children and notifies the Artistic Director of absences.  Notifies alternate cast members.  Supervises the pick up of company members and children after performances.  Acts as the primary contact for parents during theater rehearsals and performances.

Dressing Room Coordinator – Supervises the dressing room crew that monitors children in the dressing rooms during rehearsals and performances and assists children to get in and out of costume.  Coordinates the timely appearance of children on stage the return of children to the dressing room.

Back Stage Running Crew – Under the supervision of the Production Manager or the Stage Manager, assists with the operation of scenery, large props, special effects and other back stage procedures during rehearsal and performances.

Loading Crew  - Under the supervision of the Production Manager, the Stage Manager or Assistant Stage Manager loads scenery, drops, marley floor, barres, large props and other equipment into the theater from storage for all productions including the class demonstration at the end of the year.    Assembles scenery, hangs drops and lays the marley floor.  Under the supervision of the Master Electrician, assists with the hanging of lighting equipment.  Loads out scenery, drops, marley, barres and large props to storage and assists with the storage of lighting equipment.  Breaks down the studio before the Fair and reassembles the studio at the end of the Fair. 

Make Up Coordinator – Supervises the application and removal of make up for
Apprentice and Junior Company members, children, extras and character roles according to charts provided or in collaboration with the Artistic Director.   Maintains an inventory of make up and make up supplies and provides the Artistic Director with requests for new supplies.  Insures the efficient use and proper storage of make up supplies and equipment.

Props Coordinator – Load in an out of props for studio rehearsals and rehearsals and performances in the theater.  Manages the accessibility of props during rehearsals and performances according to props lists provided.  Manages certain special effects.  Dresses the set.  Makes repairs to props as needed and inventories and prepares props for storage.  

House Manager – Secures and manages ushers for public and school performances.  Instruct ushers in collecting tickets, distributing programs seating the public.  Keeps the Stage Manager apprised of the Box Office before performances and in collaboration with the Stage Manager determines if the curtain should be delayed.  Notifies the Stage Manager when the house is seated and closes the house doors.  Seats latecomers at the back of the house to insure that the audience is not disturbed.  Opens house doors at intermission, notifies the audience that the intermission has ended, notifies the Stage Manager that the house is seated and closes house doors.  Opens house doors at the end of the performance.  Monitors the house to prevent disturbances and prevent the use of video and still cameras or cell phones.
